Email is one of the popular and most-used communication tools around the World. No doubt that you have written emails to your friends and colleagues before.

In the Business World this Exceptional Communication tool isn’t always used properly and to its full potential. Please read on as I reveal just some of the ways you can use to turn your Emails into a Client-Database Vacuum Machine.

Email Signatures!

You may have noticed and even typed this at the end of your Emails – Your Name. This is where a lot of Companies will type their Contact Information, like their Name, Job Title and Company Name. You may not have been aware of the Effectiveness of Email Marketing Strategies that could potentially increase your pull of new leads by 14%, as well improve the relationship between you and your clients!

Just imagine this – You send an Email letter to your client with important information and they want to call you back. How easy would it be to just extract that piece of information from your Email Signature! You have to understand that in today’s Information-Rich World, when people want to find something they don’t want to spend more than 60 seconds on it.

You may not realise this, but some of your emails are Forwarded by your recipients. Your Signature is one of Your Marketing Tools and it’s Always there in case it arrives in someone’s Inbox who may be interested in your product or service.

Another Great Advantage of Your Signature is that you can Promote your Products and/or Services. Use this technique sparingly – Don’t Over do it! Keep it at maximum 10-21 words. You can also advertise your FREE e-Newsletter or if you have Great News for you prospects or clients.

Make sure that you don’t overcrowd your Signature with your Entire Company Contact Information. I will go through the list of Signature items that you can pick from, and also show you the most important ones that you need in your Signature!

Name – Make sure that you write your Name and Surname. I’m sure I don’t have to tell you that this MUST be in your Signature.

Title - Your position in the company. This is an important item in your Signature as this will project your Importance and your Role to the recipient.

Company Name – You want this in your Signature, because it will build your brand recognition.

Company Motto – This is the phrase or the purpose of your company that you stand by. This can be helpful if your Company name doesn’t speak for itself. If you are going to add this, make sure it’s only 12 words long and not a summary or a review.

Address – Your address shows your recipients your identity – that you are a real person.

Phone Numbers – Provide the number you can be reached on most of the time, like your Mobile phone. This one you definitely need in your signature, because it too portrays your identity. If you have a Fax, include that as well.

Email Address – This one is not necessary, as people can just hit Reply or look in the Sender’s field to find out your Email Address.

Web Site Address – Your Web URL is very important as it is the source of information for your prospects and clients. They should be able to find all the Signature Information on your Web Site too.

Promotional Material – Like I mentioned before, keep this to a minimum! You can use this space to offer a FREE Newsletter or a FREE Report. Tell your recipients about Important Announcements, News or Articles. Notice how I used the word ‘FREE’ above – Use it, as everyone loves FREE stuff!

Even though the majority of what you’ve read in this list is important, use it scarcely, because you don’t want it to appear longer than your email.

I will give you an example of how a Signature should look like when it’s done properly – you will realise how simple, yet effective it really is!
